The Role:

This position plays a pivotal role in delivering comprehensive administrative support to the Community Impact team. Acting as the primary point of contact, it addresses general inquiries from community organizations with professionalism and efficiency. 

Additionally, the role encompasses vital administrative functions related to the Grants Management system, ensuring smooth payment operations, meticulous file management, and effective information management. Furthermore, it involves coordinating and supporting various events and projects, contributing to the overall success and mission of the team.

 Core Areas of Responsibility:

External Grantee Support

  • Comprehensive knowledge about all responsive grant programs offered through the Grants Management System
  • Serve as the lead staff member responding to general inquiries from community organizations including specific grant-related requests
  • Serve as the lead staff responding to technical questions related to the Grants Management System and act as the first point of contact to support user experience in GMS.
  • Ability to prioritize and triage enquiries from external stakeholders
  • Obtain financial direct deposit information from grantee organizations  

Grants Management System (GMS) Administrative Support

  • Support the opening and closing of grant application cycles (e.g., Community Grants, Children and Youth Grants, Major Capital Grants) within the GMS platform, ensuring applications are accessible to organizations on specified dates.”
  • Submit tickets for technical issues and fixes in the GMS and support the remediation of the ticket.
  • Support in the compiling of system and business requirements to improve grant program workflows and processes
  • Ensure records and activities in the Grants management System are organized and contacts are up to date
  • Provide file management support including assigning Reviewers to grant files in the system
  • Update grant-specific correspondence templates in the GMS  

Operational Support

  • Provide administrative support to Community Impact Department
  • Prepare materials for the Community meetings and agenda
  • Support critical records management functions by ensuring grantee records are accurate and current
  • Act as backup for the updating of TWF shared calendar on SharePoint
  • Ensure all team records are well-organized, easily accessible, and that contact information is accurate
  • Compile and retrieve reports from the database as requested
  • Coordinate special assignments as requested

Experience, Education, and Credentials 

  • Diploma in office administration or related field 
  • 3-5 years of experience working in an administrative role, ideally in a non-profit environment

The Recruitment Process

As part of The Foundation’s commitment to being transparent; the following are the stages of our recruitment process:

·        Phone screening (conducted after the closing date; duration: 2 weeks)

·        First in-person interview (conducted within 2 weeks after phone screening interviews)

·        Second in-person interview (within 2 weeks after the first interview)

·        Start date: March 2026
