We are currently recruiting for the role of

Receptionist Coordinator – 2 Positions (1: Permanent – Full Time & 1: 2 months short term)

The Role: 

This position serves as the first point of contact for all visitors to The Winnipeg Foundation. The primary responsibility is to warmly greet guests upon their arrival, ensuring they feel welcome and appreciated. In addition, this role entails providing comprehensive support to individuals reaching out to The Winnipeg Foundation through various communication channels, including phone calls and email inquiries. These individuals may include board members, dedicated volunteers, representatives of charitable organizations, and valued donors and funding partners, all of whom require prompt and professional assistance.

Beyond being the “friendly face and voice” of The Winnipeg Foundation, this position also encompasses essential administrative tasks that support the organization’s seamless operation. This may involve managing incoming correspondence, maintaining organized records, and assisting with day-to-day housekeeping duties across different departments as required. The individual in this role will help create a positive and efficient atmosphere, foster strong relationships with stakeholders, and ensure that all interactions reflect the values and mission of The Winnipeg Foundation. 

Core Areas of Responsibilities

Front Desk & Customer Service

  • Serve as the first point of contact by professionally greeting and assisting visitors, donors, and stakeholders
  • Manage incoming calls via a multi-line switchboard system, including screening, transferring, and taking messages
  • Serve as the primary point of contact for general inquiries (phone, email, and in person)

Office & Facility Coordination

  • Prepare and set up meeting rooms, including coordinating catering and materials
  • Maintain shared office spaces, including kitchen areas (restocking supplies, running dishwasher daily)
  • Submit and track maintenance requests with landlords and service providers
  • Arrange courier services and manage incoming/outgoing deliveries

Mail & Communications Management

  • Process incoming mail, faxes, and general inbox emails, ensuring accurate and timely distribution
  • Handle outgoing mail, including operation and maintenance of the postage meter and coordination with Canada Post
  • Execute internal communications by sharing updates and posting notices (e.g., Microsoft Teams)

Administrative & Operational Support

  • Handle data entry, scanning, and electronic file management
  • Provide basic troubleshooting support for office equipment (e.g., printers, photocopiers), escalating to IT as needed
  • Record donor gifts received by mail and prepare daily bank deposits for the Finance team
  • Coordinate Foundation initiatives and special projects as required

Team & Organizational Support

  • Participate in internal committees and contribute to team initiatives
  • Provide general administrative support to staff across the organization
  • Perform other related duties as assigned

Education and Experience   

  • Diploma in office administration or related area
  • 1-3 years’ experience in a bookkeeping or office administration role
  • Experience with general computer use in a Windows environment 

Skills and Abilities

  • Ability to communicate tactfully and with discretion
  • Ability to communicate in French is an asset
  • Strong customer service skills
  • Strong attention to detail
  • Proficient in the use of Microsoft Office products, including Outlook and Excel

  • Strong time management
